K Day Sign Up

This is a great opportunity to promote the Team and spread awareness of our existence. Especially the opportunity to travel to other hills being sponsored by USG. Contact NAME Occurs after first week of class, registration must be in usually by DATE

Freshman Orientation Activity Fair and Infosessions

This is an essential event to recruit. If the team isn't contacted, check with NAME before the new year begins to set up a slot of time to talk about the team at an Infosession. The Student Activity fair is also available to get a booth and provide an opportunity for students to ask questions. Food and beverages are provided.

Filmboard Ad Payment and Submission

At the beginning of the year, contact filmbrd@mtu.edu and purchase ad space for the Promotional Slide which is in the Promotion.zip file posted under Files on this website. 50 dollars for the year seems like a good investment, officers can evaluate the decision each year and slide ought to be updated.

Clean out Email list

Before the first meeting of the year where you will be hopefully adding lots of email addresses to the List you need to clear out those members that have graduated, transferred or dropped from the Team need to be removed to keep the list organized and minimized. Make sure to never remove skiteam@mtu.edu or mdwood@mtu.edu. The MTU Email list manager can be found HERE. The list name is skiteam-l and password is the universal team password held by Marcus Wood.

First meeting and new member introduction

This meeting is quintessential to the setup of the Team. Although you won’t have all new members present, you will inform the bulk of them of the operation of the Team through the Introduction Presentation found in the Promotion.zip file. Most important is to have new members help recruit other new members, announce membership dues, initialize Team Apparel. This meeting is generally held in September.

Team Can Drive Fundraiser

This event always helps the Team raise a few hundred dollars. Contact Rob Bishop (assumedly you can look him up in the MTU directory), to request In-Dorm can driving. The best approach is to explain that going door to door is an excellent way to make others, especially new students in the dorms, aware of the Alpine Racing Team and the opportunities the Team provides. If the request is turned down, visiting friends of the skiteam members for can donations in the residence halls is okay. Usually, getting the best turn out of participation happens by providing two nights and make one or the other mandatory. The raised funds should be split equally among those members that participated not in cash but towards race costs. The earlier this event is held the more willing everyone will be to fundraising outside from house to house. Going house to house generally yields nearly as many cans as in the residence halls. Local people are very generous in Houghton, and are usually very happy to donate to the Team.

Student Organization Officer Meeting

Held in early September, this meeting is “mandatory” for each student organization to receive USG funding. It is essential that at least one representative go to this meeting to learn of any changes to the processes of USG.

Compile New Email List

Having cleaned out the list, new members will be joining and making sure that all their email addresses are loaded into the skiteam mailing list is important to keeping them informed. Once this list is compiled in the Email List Manager make sure to duplicate the list in the working budget so that it is ready to be used for recording what has and hasn’t been turned in.

Register with student Organizations and Update Positions

The President must login to the student organization page by using the ISO login link at the top right corner of the so.students.mtu.edu page. From there make sure that the member list, team information and office positions are correct. Make sure to register the team with USG online as well.

Mont Ripey Race Team Ski Swap

Maintaining tradition, the MTU Alpine Racing Team aids the MRRT in running the ski swap. We generally receive a few hundred for helping although this may no longer be the case. Either way it does present an opportunity to recruit MTU students that might not know of the Team. Contact Shelby Hammar at NAME

Collection of Dues and MCSA Registration Fee (10 and 50)

Currently the Team represents an organization that supports students in their passion for skiing and snowboarding. It is important for funding and for a robust team to welcome those interested regardless of skill or desire to race. It is advantageous to have people at races that don’t intend to race to help support and cheer on the team. In this spirit there are two ways to join the team: Either competitive or noncompetitive. The team must pay MCSA $60 for each person that will be racing so we have $10 as a standard membership fee and charge $50 a person to enter them on the MCSA Team Roster. Not all team members will be added to the MCSA or the USCSA Roster, only those who pay their registration fees and intend to race. This money needs to be collected by early October to ensure it is all in before the final submission date in November. Get these in fast as the penalty for being late is quite high!

Apparel  Design Decision and Order Collection and Submission

Its always good to have Team Apparrel as it stands to promote the team on campus and off. It helps identify the team when we travel and it’s always nice to have clothing to remember each season by. When designing be sure not to include any inappropriate content when including the Michigan Tech symbols, emblems or anything else. Be sure to abide by the standards set fourth by the Logos Section of mtu.edu. Just search for Logo.

Team Registration with USCSA

The Team Captain needs to logon to USCSA.com and sign up for a new username and password each year. They will answer a series of questions about Michigan Tech, Marcus Wood can help with any tough questions, mdwood@mtu.edu .  As a result of completeing the registration process you will be given four different links, a separate one for each team and gender. Guys Skiing and Guys Snowboarding, Girl’s Skiing and Girls Snowboarding. These links need to be distributed to the Competitive Members and filled out. Everyone competeing must complete this individual registration, print off the confirmation and give a copy to the President to be mailed into MCSA.

Registration, Liability, and Eligibility for Competitors

There are three basic things each Competitive Member of the team must complete to be able to race each season. The first thing is to follow the appropriate link and register themselves with USCSA as described above. Print off that confirmation and hand it in as well. There is a Liability Release form provided by MCSA each year that needs to be handed out to all Competitive Members, signed and returned. Once everyone has individually registered with USCSA, the captain needs to login to their USCSA account to print off the eligibility form. This will have everyone who has registered with USCSA. Each Competitive Member needs to initial next to their name and then the entire list needs to be given to the Registrar’s Office to be validated. This generally takes at least a week. MAKE SURE YOU GET IT TO REGISTRAR with plenty of time left to mail it in. A Team Registration Form both for MCSA and USCSA must be filled out and checks for the appropriate registration amounts must be included and postmarked by their respective dates.

Race Schedule from MCSA and Book Hotels (6 rooms)

Instead of attempting to gauge how many people will be attending each race, it is a better idea to reserve 6 rooms everywhere on a credit card or a few credit cards. They will not charge any money until the date of so you don’t need a lot of credit. Make sure to save the confirmation numbers, the telephone numbers and the no charge cancellation date so that any unneeded rooms, which there will be unneeded rooms, can be cancelled.

Generate and Distribute Race Cost

Using the Working Budget.xls and the quoted costs from the Hotel Rooms, the Treasurer or President needs to inform the Team of the cost of each race. Its best to get these costs out before Thanksgiving break so that members can obtain funds before coming back to school and will have that money in before Christmas break. Non competitive members pay a little less as they don’t need to pay for the Racer’s Fee each weekend.

Race Money Collection

It is important to collect money BEFORE Christmas break. It is easy to cancel rooms and refund peoples money so assure them they still have the option to back out before the room cancellation date and BibOrder deadline. They all need to get their money in ahead of time for any race they think they might want to go to.

Practice

To be determined by the Team Captain. Brushes, Gates, the Drill is all in the Judges Box and the key can be obtained from Nick at the hill.

Race Preparation

Make sure that all racers have been arranged in run order and the run order has been submitted to Robin/MCSA by the deadline, usually Wednesday before the race. Don’t forget to do these over the break when we have two races, generally the first to Afton and second at Ripley. Three Checks should be cut before leaving for the race. One check is for Racer’s Fee with MCSA, the second will cover any hotel expenses and the third purchases the total quantitiy of Lift Tickets for the Team providing everyone has paid the race costs to the team already.

Student Involvement Fair

Occurs second semester and provides another opportunity to promote the team. Generally take some flyers, some team members and some skis or snowboards to talk to anyone that might be interested in the following year.

Budget Proposal Mandatory Meeting

This meeting is hosted by USG and provides a workshop to building a professional Budget. Each organization  MUST attend!

Winter Carnival Race Setup

A staple fundraiser where we set a course and tear down a course for the Winter Carnival Race. Make sure that teams of people are assigned to both tasks. This is held on the Friday of Winter Carnival.

Budget Proposal Due and If Necessary Hearings

The Budget Proposal is a very important part of the team. Without the funding from USG the team would not operate functionally. The team now has a reputation of being honest, and not greedy. We ask only what we need and try to do with less and less becoming more efficient and self sustaining. Make sure to take the time on the budget and ask for exactly what we need. Many organizations ask for way more in hopes they will get a fraction of what they ask for. This is dishonest and weak, ask for what the team needs. If it isn’t granted simply request a hearing date to amend the decision. At the hearing, retrace over the year’s budget and indicate where we raise our own funds and that no money is wasted.

Request Season Reimbursement

Make sure that amidst writing the budget and proposal from next year that you request a check with the reimbursement from the current years expenses.

Officer Elections

Hold a meeting or social gathering to elect new officials for next year.

Member Refunds

This can be held at the same time as the Officer Elections. Only money that was not spent will be refunded. If a member does not withdraw from a weekend before the date of the hotel cancellation deadline or the bib order deadline they will not receive a refund for these things.
